Internal meeting AI policy

Define who may use meeting AI, for which meetings and under which review, access and retention controls.

1. Scope and approved uses

[Organization] permits approved users to analyze meeting transcripts for documented purposes including decision records, action tracking and unresolved-topic follow-up. Use for employee monitoring, emotion recognition, covert recording or unrelated profiling is prohibited.

2. Operating rules

  • Inform participants before transcription or analysis.
  • Use only approved platforms and workspaces.
  • Do not process meetings containing unnecessary sensitive data.
  • Review AI-proposed items before publication.
  • Grant access according to role and business need.
  • Apply the approved retention and deletion schedule.

3. Ownership and escalation

The meeting organizer is responsible for confirming that transcription is appropriate and participants are informed. Workspace administrators manage access. The privacy or legal contact reviews exceptional uses, rights requests and high-risk processing. Suspected incidents must be reported to [security contact] without delay.
