Before the meeting
Decide why a transcript is needed, who will use it and how long it should remain available. The organization using the transcript must identify an appropriate legal basis and provide clear information to the people concerned.
- State the purpose in the invitation or at the start of the call.
- Offer a practical alternative when someone raises a legitimate concern.
- Avoid transcription for discussions whose sensitivity outweighs the expected benefit.
During and after the meeting
Do not treat a transcript as harmless notes. It can contain opinions, identifiers, health information, employee data or confidential strategy. Review the output before sharing it and remove irrelevant personal detail.
- Restrict access to the relevant workspace.
- Keep approved memory separate from raw transcript evidence.
- Apply a documented retention period and deletion process.
Where WhyBecause fits
WhyBecause does not silently join or record a call. A user chooses to provide a transcript after the meeting, reviews the proposed output and controls what becomes team memory. This reduces some live-meeting risks, but the customer still remains responsible for the lawful creation and use of the transcript.
